Terms of Service

Effective April 18, 2026

These Terms of Service (“Terms”) govern your use of SteepedBooks, operated by Sirrius Office Inc. (“we,” “us,” or “our”), a Canadian corporation based in the Greater Toronto Area. By accessing or using SteepedBooks, you agree to be bound by these Terms.

Service Description

SteepedBooks is an AI-powered bookkeeping tool for Canadian small businesses. Our service includes receipt scanning, bank statement importing, transaction categorization, invoice generation, HST/GST/PST tracking, and year-end accountant package preparation.

Your bookkeeping files (receipts, statements, invoices, year-end packages) are stored in your own Google Drive. Operational data (transaction metadata, categorization rules, account settings) is stored in Supabase Postgres.

Eligibility

You must be at least 18 years old and have a valid Google account to use SteepedBooks. By using our service, you represent that you meet these requirements.

Account Registration

You create a SteepedBooks account using your email address and password. During onboarding, you connect your Google Drive to enable file storage. You are responsible for maintaining the security of your account credentials and for all activity that occurs under your account.

User Responsibilities

You agree to:

  • Provide accurate and complete information when using the service
  • Use SteepedBooks only for lawful business bookkeeping purposes
  • Not attempt to reverse-engineer, copy, or misuse any part of our service
  • Not upload content that is illegal, harmful, or violates the rights of others
  • Review your bookkeeping data for accuracy. AI-generated entries should be verified
  • Use a strong password (minimum 12 characters) for your account

Data Ownership

You own your data.

Your receipts, bank statements, invoices, and year-end packages are stored in your own Google Drive. You retain full ownership and control of all files at all times. If you stop using SteepedBooks, your files remain in your Drive.

Operational data (transaction metadata, categorization rules, HST calculations) is stored in our Supabase database to operate the service. Upon account deletion, this data is permanently purged within 30 days.

By using our service, you grant us a limited licence to access and manage files within the SteepedBooks folder in your Google Drive solely for the purpose of providing the service. This licence ends when you revoke our access or delete your account.

Data Residency

Our application is hosted on DigitalOcean App Platform in the Toronto, Canada region. Operational data is stored in Supabase Postgres, which may process data in the United States. Your Google Drive files are stored according to your Google account settings. By using SteepedBooks, you consent to the processing of operational data outside of Canada as described in our Privacy Policy.

Subscription and Billing

Plans

SteepedBooks offers three plans: Free, Starter at $19/month CAD, and Pro at $34/month CAD. All pricing is in Canadian dollars. Paid subscriptions are billed monthly through Stripe.

Stripe Connect

If you use SteepedBooks to accept payments from your customers via Stripe Connect, a 0.5% platform fee applies to each transaction in addition to standard Stripe processing fees.

Cancellation

You can cancel your paid subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period. After cancellation, you retain access to free-tier features, and your Google Drive files remain yours.

Refunds

We do not offer refunds for partial billing periods. If you believe you were charged in error, please contact us at [email protected].

AI Processing

SteepedBooks uses Anthropic’s Claude AI to process receipts, bank statements, payroll registers, and other documents you upload. The AI extracts vendor names, amounts, dates, taxes, and suggests transaction categories.

AI processing is not guaranteed to be 100% accurate.

You are responsible for reviewing AI-generated entries and correcting any errors. The AI learns from your corrections to improve future categorizations, but accuracy depends on document quality and other factors. Transactions below a confidence threshold are automatically held for your review.

Anonymised Data and Insights

We may use anonymised, aggregate metadata derived from the Service to produce industry benchmarks, trend reports, and general business insights. This data is stripped of all personally identifiable information and cannot be traced back to any individual user or business.

Examples of anonymised data we may analyse include aggregate expense ratios by industry, average revenue ranges by business type, seasonal cash flow patterns, and regional economic trends. No individual transaction amounts, vendor names, client names, or other identifying details are ever included.

These insights may be shared in newsletters, published reports, or used to improve the Service (for example, providing benchmarking features that compare your business to anonymised industry averages). You may opt out of receiving these insights at any time through your account settings.

Limitation of Liability

SteepedBooks is a bookkeeping tool, not an accounting firm.

We do not provide accounting, tax, legal, or financial advice. The information produced by SteepedBooks is for organisational purposes only. Your books should always be reviewed by a qualified CPA or Chartered Accountant before filing tax returns or making financial decisions based on them.

To the maximum extent permitted by applicable law, Sirrius Office Inc. and its officers, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to your use of SteepedBooks, including but not limited to:

  • Errors or inaccuracies in AI-generated data
  • Tax penalties, interest, or financial losses resulting from reliance on data produced by the service
  • Loss of data due to issues with Google’s services, Supabase, or your own account
  • Service interruptions or downtime

Our total liability for any claim arising from these Terms or your use of the service shall not exceed the amount you paid us in the twelve (12) months preceding the claim.

Intellectual Property

SteepedBooks, the SteepedBooks logo, and all related branding are trademarks of Sirrius Office Inc. The service’s software, design, and content (excluding your data) are our intellectual property and are protected by copyright and other laws. You may not copy, modify, distribute, or create derivative works from our service without our written permission.

Termination

You may stop using SteepedBooks at any time by revoking our Google Drive access and cancelling your subscription. We may suspend or terminate your account if you violate these Terms, use the service for fraudulent purposes, or if we are required to do so by law. Upon termination, your Google Drive files remain in your Drive. Operational data in Supabase is deleted within 30 days.

Governing Law

These Terms are governed by and construed in accordance with the laws of the Province of Ontario and the federal laws of Canada applicable therein. Any disputes arising from these Terms or your use of the service shall be resolved in the courts of Ontario, Canada.

Changes to These Terms

We may update these Terms from time to time. When we make significant changes, we will notify you by email or by posting a notice in the application. Your continued use of SteepedBooks after changes are posted constitutes your acceptance of the updated Terms.
